Automated Job Costing


Often we are questioned as to the importance of providing accurate Job Costing. You could quite easily look at your Profit & Loss statements at the end of the month, compare revenue of Parts to Costs, Wages to Labour Revenue, and so on – why bother doing anything further?

For starters, we agree! You may look at your bottom line, and see that you’re making an acceptable profit margin, great! You may even be making a loss, but you can always blame that on limited work, or unexpected costs incurred. You tell yourself that everything is ok, and continue on working.

Going back to our introduction, we are in the business of making repair facilities profitable – and by this, we mean highly profitable.

By providing accurate Job Costing, we can look at any cross section or cost centre in your business, and identify where you could be making more money.

Are your Panel Beaters holding up your Painters?
Is your lead hand really your most profitable?
Which techs are making money, and which are costing you?
Are you overpaying staff?
Should you be paying out more to increase staff retention?

In the past, obtaining this information would require you to note down each task worked by an employee, record the hours they worked on it, add up the revenue of the tasks by going back to your quoting package, and comparing the recorded cost to the revenue. But, what happens when you have two technicians working on the same task, or a contractor performs the Paint Application, and your Painter does the Prep and Polishing? It can be done, but very time consuming!

WebTRIM handles all of this with ease. In fact, we take this one step further.

Firstly, we provide barcoded Job Sheets for the workers. There is no need for any data entry or recording of time. All that is required is for the workers to scan onto the task they are about to perform, and when finished, scan once more so that the system knows how long was spent on the task. Our barcode system is also used to capture attendance times, no more need for Bundy clocks or time cards!

The process of scanning onto Job Sheets and recording time is simple, the complex part is in making the Job Sheets match the actual processes that occur on the shop floor. We have overcome this hurdle by providing you with the ability to dissect not only job sections, but also line items into an unlimited number of processes on the Job Sheets. For example, you can split Paint into Priming, Masking, Prep, Application, Polishing, Paint Liquid & Paint Consumables with various percentages in each, it’s entirely up to you. You can even pull out specific line items from a section of the quote, and put it in another. For example, you may quote a second hand part, however in reality, a portion of the revenue should be directed at Repair, as well as to re-spraying the panel – WebTRIM can handle this!

By distributing the quoted revenue into real processes that occur on the shop floor, WebTRIM not only knows the cost of each process compared with its revenue, but can also accurately identify the profitability of each worker, estimator, assessor, insurer, vehicle make and model, or on a single job basis. This information is completely automated and derives from the simple process of printing a Job Sheet, and then having the worker start and end a task.
