Support & Training


WebTRIM is a diverse application that affects many aspects of your repair facility. As a result, we tailor the implementation and training based on your expectations from the system, as well as your existing staffing levels.

In general terms, we have found that the most effective training occurs when we divide the sessions over several weeks. This allows you to take on board the training, apply what you have learnt, and ask us questions as they arise.

To provide you with the greatest flexibility, our training is divided into both onsite and online training. Online training is performed by remotely logging onto your local desktop PC, and either showing you or guiding you on how to use various features in our system. This is a very effective method of training, and can be performed at a date and time that is convenient for you.

The following describes a typical training schedule for a mid-sized repair facility. It must be re-enforced that we will tailor this to your staff levels, as well as your expectations from the system.


   Week 1 Training Program (Onsite preferred)

Owner/Manager Operations Manager Reception/Pay Clerk Workshop Staff
  • Define real shop floor processes (ie. Does the same painter always perform prep and paint app, or should it be split up?)
  • Import active jobs and make sure import rules are properly defined.
  • How to print Job Sheets
  • Define roles and responsibilities of Admin Staff for WebTRIM
  • Setup employees
  • Understanding Job Costing Report
  • Understanding the live employee and jobs screens.
  • Basic functions of screens such as assign staff as absent, view activity, correcting scanning errors.
  • Understanding Job Costing Reports.
  • How to Print Job Sheets
  • How to perform a Job Complete
  • How to mark an employee as absent
  • Introduce WebTRIM
  • How to use barcode stations
  • How to use and read Job Sheets
  • Where are the Job Sheets placed. What if there is no Job Sheets

   Week 2 Training Program (Offsite)

  • Review workshop staff usage of system, ie. activity report
  • Individually talk to staff not properly scanning
  • Review shop floor processes, are they correct? Make any minor changes as required
  • Understand Production In & Out reports.
  • Introduce concept of Booking-in vehicles.
  • Setup basic capacity targets.
  • Discuss Booking-In reports
  • Manager/owner should be present for this session
  • Introduce WebTRIM pay system.
  • Process previous week’s pays.
  • Review payment types and understand performance reports.
  • No Training Required

   Week 3 Training Program (Offsite)

Owner/Manager Operations Manager Reception/Pay Clerk Workshop Staff
  • Review Booking-In report, discuss best way to implement, and who should monitor.
  • Monitor & Review workshop staff usage of system, ensure scanning is at least 80%.
  • Introduce concept of scheduling
  • Discuss & choose appropriate method
  • Setup Schedule Targets, rules, etc
  • Begin training on scheduling.
  • Manager/owner should be present for this session
  • Answer questions on Pay System
  • Show advanced pay system featured.
  • No Training Required

   Week 4 Training Program (Offsite)

Owner/Manager Operations Manager Reception/Pay Clerk Workshop Staff
  • Review worker performance reports, pays verses revenue achieved, and so on
  • Enough information is gathered at this point to view financial and business reports, provide overview of these reports
  • Further discuss booking-in and scheduling process.
  • Answer questions on Scheduling
  • Refine targets if required.

   Beyond Training Program (Onsite or Offsite)

  • Discuss possibility of implementing incentive pays
  • Analyse various reports in system, look at ways to improve the business
  • Discuss other changes, create business targets, and more.
Implementing our system is as simple or as detailed as you wish to make it. Often, we find that operators see the implementation of WebTRIM as an opportunity to make other changes within their business. For example, an owner may be using WebTRIM as a forerunner to detaching themselves from the business. This circumstance could result in changing staff roles, or delegating certain activities to other members. Progressive facilities may implement WebTRIM when gearing up for expansion, often changing or streamlining existing processes to suit large increases in volume.

Regardless of your situation, we will help you to deliver the best results from our system.

Our help desk staff can provide you with answers to common queries about the system or any technical support that you may require, via phone or email. More complex questions, such as discussions on business results, or specific industry based queries will be passed onto our business consultants to ensure that you have the most accurate answers. Video-based tutorials on many aspects of the system are also available, and are often used in conjunction with initial training or as part of new staff induction.
